Insurance Documentation Checklist for Water Damage

What to capture, when to capture it, and what the restoration record adds.

Before anything moves

Photograph each affected room widely, then close up. Include the suspected source, the water line on walls and any affected contents in place.

  • Wide shots of every affected room
  • Close-ups of damaged materials and finishes
  • The source of the water where visible
  • Contents in their original position
  • The date and time of discovery

Notify promptly

Most policies expect prompt notification. Contact your insurer early even if the extent is not yet clear, and keep a note of who you spoke with and when.

Keep the paper trail

Retain receipts for anything you purchase in response, records of any trades attending and correspondence with your insurer or property manager.

What restoration records add

Moisture readings, drying logs, photographs of removed materials and a written scope give an adjuster the technical basis for the work performed.
